What Projments is and how the workspace hierarchy fits together.

Projments is an integrated project management workspace for agencies, consultancies, and professional service firms. It combines time tracking, budgets, files, and team chat in one place so the work and the conversation about the work live side by side.

The workspace hierarchy

Everything you do flows through a clear five-level structure. Hours roll up automatically from time entries to clients.

Clients
The organizations you work with.

First steps

  1. Create a workspace from the Workspaces switcher in the sidebar.
  2. Invite teammates from Settings → Members and assign each a permission set.
  3. Add at least one Client, then create a Project under it.
  4. Break the project into Submissions (phases), then Tasks (the work).
  5. Start a timer or log time manually as you work.
Most users get the most value from connecting two things first: the Time Tracker for hours and the Tasks board for what to work on next.

Dashboard

Free

A live read on your team, projects, and time.

The Dashboard is the home page of every workspace. It surfaces the metrics that matter most for the day — running timers, project health, recent activity, and outstanding work — without needing to open each module individually.

What you'll see

  • Active timers and today's tracked hours across the team.
  • Project status cards: budget burn, deadline risk, and recent updates.
  • Tasks coming due and recently completed.
  • Activity feed: who did what, where, and when.
The widgets you can see depend on your permissions. Members with limited access only see cards for the projects they're assigned to.

Workspaces

Free

Create, switch between, and manage isolated team spaces.

A workspace is a fully isolated environment with its own clients, projects, members, settings, and billing. Use separate workspaces for different companies, brands, or large departments where data should not mix.

Common actions

  • Create a workspace from the workspace switcher in the sidebar.
  • Switch workspaces from the same switcher — your last-used one is remembered between sessions.
  • Manage settings from Settings → General inside the workspace.
  • Leave a workspace from the Workspaces page; the owner can transfer ownership before leaving.
Plan limits
Free includes 1 workspace, Starter up to 3, and Professional unlimited. Members invited to a workspace don't count against their own plan's quota.

Notifications

Starter

Real-time alerts for mentions, replies, and assignments.

The Notification Center collects every event that needs your attention: mentions in comments, new task assignments, chat replies, and project activity. Real-time updates are pushed instantly through Pusher.

What triggers a notification

  • Someone mentions you with @ in chat, a comment, or a collaboration post.
  • A task is assigned to you or a task you own is updated.
  • A reply lands on a thread you're part of.
  • A workspace owner or admin announces a change that affects you.

Tune what you get

Open Settings → Notifications to choose which events generate a desktop push, an in-app bell, or both. You can mute individual projects or quiet hours without disabling the bell entirely.

Chat

Starter

Direct messages and group threads with reactions.

Chat keeps fast conversations with teammates close to the work. Start a one-on-one DM, open a group thread, or jump into a project's collaboration room without leaving Projments.

Things you can do

  • Start a new conversation by clicking the compose icon at the top of the chat list.
  • React to messages with emoji to acknowledge without replying.
  • Edit or delete a message you sent — within the editing window.
  • See unread badges in the sidebar so nothing slips by.
Type @ in any message to mention a teammate. They get a notification even if their chat is closed.

Calls & Meetings

Professional

Voice, video, and screen sharing without leaving the app.

Calls let you spin up a voice or video meeting from any DM or chat thread. Calls run on LiveKit so quality stays good across regions, and recordings can be saved to the workspace for later review.

How to start a call

  1. Open a chat or project room with the people you want to talk to.
  2. Click the phone icon for voice, the camera icon for video.
  3. Share your screen at any time using the screen-share button in the call bar.
  4. Copy the meeting link to invite an external guest who isn't in the workspace.
Missed calls and recent meetings are listed under Calls in the sidebar so you can re-join or review without searching.

Time Tracker

Starter

One-click timers, manual entries, and billable hours.

The Time Tracker (also called Worklog in some places) is the heart of the workspace. Hours logged here roll up automatically into project budgets, client invoices, and reports.

Two ways to log time

  • Live timer. Pick a task and click Start. The timer keeps running across page reloads and reconnects after a network blip.
  • Manual entry. Add an entry for a specific date and duration when you forgot to start the timer or are logging time for someone else (with permission).

Billable vs non-billable

Each entry can be marked billable. Reports separates billable from internal hours so you can invoice with confidence. Default billable behaviour is set per project.

Turning hours into money

Logged hours don't stop at reports. In Expenses → Pay for logged hours you can price completed entries at each member's rate and raise the payment as a single approved expense. Only finished entries count — a timer that's still running isn't money yet.

Pair the Time Tracker with the desktop Agent to capture screenshots that link automatically to the active entry — useful for evidence on hourly engagements.

Projects

Free

Create projects, track budgets, and choose how you view them.

A project ties a client, a budget, a team, and a stack of submissions and tasks together. Status, hours, and expenses all roll up to the project level so you always know where you stand.

Project views

List
Sort and filter every project across the workspace; great for portfolio reviews.
Timeline
A Gantt-style view to see overlap, deadlines, and capacity at a glance.
Project detail
Open one project to manage its team, submissions, files, expenses, and chat room.

What lives on a project

  • A linked client, a budget (hours and/or money), and a target deadline.
  • The team — members and their per-project hourly rates.
  • A description, custom fields, and a forecast curve based on logged time.

Project Collaboration

Posts, comments, and reactions inside each project.

Each project has a collaboration room — a focused feed for team updates, decisions, and questions that should stay close to the work rather than getting lost in a general chat.

What you can do

  • Post updates with rich text and attachments; pin the important ones.
  • Reply in threads so each topic stays self-contained.
  • React with emoji to acknowledge without adding noise.
  • Mention teammates with @ to pull them in; they get a notification.
Use posts for decisions and chat for fast back-and-forth. Posts are easier to find weeks later when you need to remember why something was decided.

Sheets & Markups

Professional

PDF drawings, versions, color diff, and markups linked to tasks.

Sheets is built for engineering and construction teams that work with PDF drawings. Upload a set, organize it by folder, and the system auto-detects revisions so version history stays clean.

Highlights

  • Folders organize drawings by discipline, level, or phase.
  • Versions auto-detect from sheet numbers — old revisions stay accessible.
  • Color diff overlays two versions: red for removed, blue for added, black for unchanged.
  • Markups let you draw, comment, and link the markup to a task that needs to be addressed.
  • HD zoom uses tiling and hardware acceleration to keep large blueprints fast.
For very large files (50+ MB), expect the first render to take a few seconds while tiles are generated. Subsequent loads are cached.

Files & Storage

Starter

Upload, organize, and share files with the team.

Files is a workspace-wide drive that holds anything you'd attach to a project — references, deliverables, exports, brand kits. Files can be organized into folders and shared with teammates whose permissions allow it.

Common actions

  • Drag-and-drop or click to upload; multiple files at once are supported.
  • Create folders to keep things tidy and move files between them.
  • Download, copy a share link, or delete from the right-click menu.
  • See storage usage on Settings → Billing.

Upload not working?

  • Check that you haven't hit your plan's storage limit.
  • Very large files may need a faster connection; the upload resumes after a brief drop.
  • If a specific file type is rejected, contact support — some types are blocked for safety.

Submissions

Free

Track delivery phases, milestones, and what ships when.

Submissions sit between projects and tasks. They represent a delivery phase, a milestone, or a discrete bundle of work the client is expecting on a date. Tasks attach to a submission so the team can see what's in scope for each shipment.

Views

List
Filter and sort across the workspace by project, status, or due date.
Timeline
See submissions on a calendar so you can spot overlap and crunch.

Working with submissions

  • Create a submission from inside its parent project.
  • Attach tasks: every task can belong to one submission.
  • Move the status (planned → in progress → delivered) to track delivery phases.

Tasks

Free

Three views — List, Board, and Flow — for every level of detail.

Tasks are the day-to-day unit of work. Each task can carry an assignee, priority, status, due date, subtasks, and the time logged against it.

Three ways to look at them

List
Dense, sortable, filter-rich — the default for most teams.
Board
Kanban columns by status. Drag cards to update; great for daily standups.
Flow
A graph of dependencies so you can spot the critical path and the blockers.

Working a task

  • Add subtasks or a checklist for the steps that make up the work.
  • Log time directly from the task — the entry attaches automatically.
  • Tag the task to roll it up across projects in reports.

Has this task been paid for?

A Payment column and filter show whether the hours logged on each task have been paid out — Unpaid, Awaiting approval, Partly paid, or Paid. The state is derived live from the labor expenses raised in Expenses → Pay for logged hours, so it is never stale.

Expenses

Professional

Project costs with approval flow — and pay the team for hours they logged.

The Expenses module captures the costs that hit a project's budget — software, subcontractors, travel, materials — and, with Pay for logged hours, the cost of the work itself. Each expense rolls up into project profitability and the Reports module.

States and approval

  • Pending. Submitted by a member, waiting on review.
  • Approved. Counted against the project budget and visible in reports.
  • Rejected. Returned to the submitter with a reason.
Attach a receipt to every expense — it makes auditing painless and is required by most accounting workflows.

⏱️ Pay for logged hours

Turn tracked time into money without leaving Expenses. Flip the Pay for logged hours switch at the top of the New Expense form and the amount field is replaced by an hours picker: choose the tasks or the people you are paying for, tick the rows, and the priced total becomes the expense amount. No spreadsheet, no re-typing hours, and no way for the amount to drift from the hours that justify it.

  1. Open Expenses → New Expense and turn on ⏱️ Pay for logged hours.
  2. Pick how to group the work: 📋 Task (what did this task cost?) or 👤 Member (what do we owe this person?).
  3. Choose the specific tasks or members — or leave the picker empty to see everyone.
  4. Narrow the scope with Project, a From / To date range, Billable entries only, or the search box.
  5. Tick the rows you're paying for. Each row shows hours × rate = cost, and the footer keeps a running total.
  6. Save. The total becomes the amount, and the expense goes through your normal approval flow.

The title is filled in for you — Labor — Ahmed (12h 30m) — and stays editable. The amount itself is locked while the switch is on, because it is the sum of the breakdown; the full line-by-line receipt stays attached to the expense and is visible in its side panel afterwards.

Never pay for the same hour twice

Every row remembers how much of it a previous expense already claimed. Unbilled hours only is on by default, so the picker offers exactly the hours nobody has been paid for yet — pay 6 of a task's 10 hours today and next month it offers the remaining 4, not all 10. Rows that are fully settled disappear from the list instead of inviting a double payment, and rows partly paid say so (· 6h already billed).

The claim also remembers the date range it was raised for. Billing June and then re-opening June won't quietly hand you July's hours with a June date.

Where the rate comes from

  • The task's assignee sets the price, not whoever logged the hours — so a task costs the same whichever teammate helped out.
  • Project rate override wins. A per-member rate set in Project settings beats the member's default hourly rate.
  • Member hourly rate is the fallback, from Settings → Team.
  • No rate set? The row reads no rate, costs 0, and cannot be ticked — a banner names who is missing a rate rather than silently substituting somebody else's.
  • Work with no assignee falls back to the rate of the person who logged it — there is nobody else to ask.

Seeing what's been paid

Tasks get a Payment column and filter that is derived live from these expenses — nothing is stored on the task, so deleting an expense un-pays its tasks the same instant.

Unpaid
No expense covers this task's hours yet.
Awaiting approval
An expense claims the hours but nobody has approved it. The hours are already reserved, so they won't be offered twice.
Partly paid
Approved expenses cover some of the logged hours — more time has been tracked since.
Paid
Approved expenses cover essentially all logged hours on the task.

Only approved expenses count as money paid. Converting an expense to a Sale carries the receipt with it, so nothing is un-paid by the conversion; duplicating an expense deliberately drops the receipt so the copy can't claim the same hours again.

Only completed time entries are counted — a timer still ticking is not money yet. That's why these hours can read slightly lower than the Duration column on the Tasks page, which does include the running timer.
Who can bill whose hours
Anyone with access to Expenses can bill their own logged time. Seeing and billing the whole team's hours needs Manage or Full on Expenses, Time Tracking, or Reports for that workspace — hours and rates are payroll data.

Sales

Professional

Track project revenue with approval flow and profit impact.

The Sales module captures revenue entries tied to a project — invoices, paid retainers, one-off charges. Each sale rolls up into project profitability and the Reports module side-by-side with Expenses.

States and approval

  • Pending. Submitted, waiting on review.
  • Approved. Counted as confirmed revenue in the project budget and reports.
Use the Expenses & Sales report category for cash-flow, profit margin, and tag-level breakdowns across both Expenses and Sales together.

Contracts

Professional

Track contract budgets, milestones, and progress.

Contracts model the commercial side of a client engagement — total fee, milestones, invoicing schedule. Linking a contract to a project lets you watch logged hours and expenses against the agreed value in one place.

What a contract holds

  • Budget (fixed fee or capped time-and-materials).
  • Milestones with target dates, values, and statuses.
  • The linked project (or projects) that consume the contract value.
Closing a contract freezes its budget snapshot for reporting; existing time and expenses stay attached but no new ones can be added without re-opening it.

Checklists

Free

Reusable lists for repeatable workflows.

Checklists are the lightest-weight way to capture a process. Use them for onboarding, pre-flight checks, QA gates, or any step-by-step you repeat across projects.

Working with checklists

  • Drag and drop items to reorder them.
  • Save a list as a template once you have it right; reuse it on the next project.
  • Reset a checklist when starting a new cycle — items return to unchecked, structure stays.
  • Attach a checklist to a task or workflow so progress is visible to the team.

Reports

Professional

Hours, tasks, projects, and clients — sliced any way you need.

Reports rolls up everything that's been logged into views you can filter, share, and export. There are three lenses today; pick the one closest to the question you're asking.

The three lenses

Overview
High-level health: tracked hours, project status, team utilization.
Time
Granular time data — by member, project, task, billable status.
Tasks & Submissions
Throughput, on-time delivery, and what's open vs closed.
Every report supports a CSV export from the top-right action button — useful for invoicing or sharing with stakeholders who don't have a Projments login.

Calendar

Starter

Deadlines, events, and meetings on a single calendar.

The Calendar consolidates everything dated in the workspace: task due dates, submission deliveries, project deadlines, and scheduled meetings. Click any item to jump to its source.

Tips

  • Filter by type (tasks, submissions, projects, meetings) to declutter the view.
  • Switch between month, week, and day to match your planning rhythm.
  • Drag an event to reschedule — the change syncs back to the source record.

Clients

Free

Manage the organizations your projects belong to.

Clients are at the top of the hierarchy. Every project must have one. Adding clients early means projects, hours, and revenue automatically aggregate into the right buckets when you open Reports.

What you can capture

  • Name, contact details, and notes on the client.
  • Custom fields — define your own (industry, region, tier) and they show up across the workspace.
  • The list of projects linked to the client and the totals across them.

Tags

Free

Organize and slice data across modules with shared labels.

Tags are simple labels you can apply to projects, tasks, and expenses. They become powerful when you use them consistently — for client industries, work types, regions, or anything cross-cutting.

Suggested workflows

  • Tag projects by industry to compare profitability across verticals in Reports.
  • Tag tasks by skill (design, dev, copy) to surface bottlenecks.
  • Tag expenses by category for clean exports to accounting.

Team & Members

Free

Invite teammates, set roles, and configure hourly rates.

The Team area in workspace settings is where you grow your team and shape how they work together. Invite by email, assign a role, and set the hourly rate that drives billing calculations.

What to configure per member

  • Role. Owner, Admin, or Member — determines baseline access.
  • Permission set. Fine-grained per-module access on top of the role.
  • Hourly rates. A default rate plus overrides per project where rates differ.
  • Assigned projects. Which projects the member can see and contribute to.
The hourly rate is what Pay for logged hours prices work at. A member with no rate set has their hours costed at 0 and can't be billed until you fill it in.
Removing a member doesn't delete their time or tasks. Their entries stay attached to history so reports remain accurate.

Permissions

Free

Module-level access control with read, manage, and full tiers.

Permissions control what each member can see and do, module by module. They're the reason one teammate's sidebar may look different from another's — items they have no access to are hidden entirely.

Three tiers per module

Read
View only — useful for stakeholders who need visibility but won't edit.
Manage
Read plus create and edit. The default for active contributors.
Full
Manage plus delete. Reserved for trusted leads.

Roles: a quick map

  • Owner — full access to every module plus billing. There is exactly one owner per workspace.
  • Admin — full access except billing and ownership transfer.
  • Member — exactly the access defined by their permission set, nothing more.
Tightening a permission removes access immediately. If a member has a tab open on a module they just lost, they'll see a Forbidden screen on the next action.

Settings

Workspace-wide preferences for parameters, statuses, and theme.

Settings is the control panel for the workspace. Most teams configure it once during onboarding and revisit only when growing into new processes.

Billing is where you choose a plan, add seats, attach storage, and review past invoices. Only the workspace Owner can modify the subscription.

Starter

Common actions

  • Upgrade or downgrade — changes take effect at the next billing cycle.
  • Add a storage add-on (100 GB to 1 TB) on top of any paid plan.
  • Resume a cancelled subscription before the cycle ends and keep all data.
  • Download invoices and update the payment method.
Cancelling at the end of a cycle keeps your data accessible in read-only mode for a grace period, so you have time to export anything you need.

Profile & Account

Free

Your personal details, sign-in, and security.

Your profile holds your name, avatar, contact info, and security settings. Anything in Profile is per-user and follows you across every workspace you belong to.

What you can change

  • Display name, email address, and avatar.
  • Password and connected sign-in methods.
  • Active sessions — sign out a forgotten browser remotely.

Sign-in trouble?

  • Use the password reset link on the login page; it arrives within a minute.
  • If your account status is not active, contact the workspace Owner — your invite may have lapsed.
  • For account-level issues, open a support request from this Help Center.

Projments Agent / Snapshots

Professional

The desktop companion that captures screenshots while you work.

The Projments Agent is a small desktop application that runs alongside the web app. While a timer is running, the Agent captures periodic screenshots and uploads them to the active time entry — useful for hourly engagements where a record of focused work is part of the contract.

Setting it up

  1. Download the Agent for your OS from the Settings → Snapshots page.
  2. Sign in with the same account you use for the web app.
  3. Grant screen-recording permission when prompted by your OS.
  4. Start a timer in the web app or directly inside the Agent.

Troubleshooting

  • Screenshots not uploading? Check your network connection and that you're signed in to the same account in both places.
  • Agent doesn't see screens? Re-grant screen-recording permission in your OS privacy settings.
  • Timer drifts? The Agent uses the server clock; very large local clock skew can confuse the linkage.
Snapshots respect privacy: they only capture while a timer is actively running, and you can delete any individual snapshot from the Time Tracker.

How it works

  1. Open the Support Requests page (link below or from the Help dropdown in the app header).
  2. Click "New request", give it a clear subject, and describe what you're trying to do.
  3. You'll get an email and an in-app notification when the team replies.
  4. Reply right inside the thread; the conversation stays in one place.
